Privacy Policy

How HololTeck collects, uses, shares and protects personal data across our website and the platforms we build and operate.

We build systems that handle real customer data — loyalty members, appointments, leads and approvals. This policy explains, in plain language, what we collect, why, who we share it with, and the rights you have.

01. Who we are

HololTeck is a technology company headquartered in Wyoming, USA, with a regional presence in Doha, Qatar. We build and operate AI integration services, loyalty platforms, appointment and booking systems, unified lead platforms, approval management software, and marketing services for businesses.

02. Two roles: controller and processor

When you visit our website, contact us, apply for a role, or subscribe to our content, HololTeck acts as the data controller — we decide why and how your data is used.

When we deliver a platform to a business client (for example a loyalty program, appointment system or lead pipeline), that client is the controller of their customers' data and HololTeck acts as a data processor, handling data only on documented instructions under a written services agreement.

03. Data we collect

Information you give us: name, business name, role, email address, phone or WhatsApp number, country, and the content of enquiries, consultation requests, support tickets and proposals.

Information we collect automatically: IP address, approximate location derived from it, device and browser type, pages viewed, referring source, and interaction events, collected through cookies and similar technologies as described in our Cookie Policy.

Information processed on behalf of clients: end-customer records inside the platforms we operate — such as loyalty membership and points activity, appointment bookings, lead submissions, and approval workflow records — always under the client's instructions.

We do not intentionally collect special category data (health, religion, biometrics) and ask that you do not send it to us through forms or WhatsApp.

04. Why we use your data and our legal basis

To respond to enquiries, book consultations and prepare proposals — on the basis of steps taken at your request prior to entering a contract.

To deliver, support, secure and improve the products and services you or your organisation have engaged us for — on the basis of contract performance.

To send relevant business communications about our services, and to measure and improve our website and campaigns — on the basis of our legitimate interests, or your consent where the law requires it.

To meet accounting, tax, anti-fraud and other legal obligations — on the basis of legal compliance.

We do not sell personal data, and we do not use client end-customer data to train general-purpose AI models.

05. WhatsApp and direct messaging

Several buttons on this site open a pre-filled WhatsApp message to our business number. When you send that message, WhatsApp processes the message content and your phone number under its own terms and privacy policy.

We store the conversation and any business details you share so we can follow up on your request, and we treat it with the same confidentiality as email.

06. AI processing

Some of our services use artificial intelligence — for example lead qualification, appointment routing, content generation and support assistance. Where AI is used on data you provide, we limit inputs to what is necessary, use business-grade providers under contractual confidentiality, and keep a human decision-maker in the loop for outcomes that materially affect an individual.

You can ask us which AI components are involved in a service delivered to you, and request human review of an automated outcome.

07. Sharing and sub-processors

We share data with vetted service providers who help us operate: cloud hosting and databases, email and messaging providers, analytics, AI model providers, payment and accounting tools, and CRM systems. Each is bound by contract to process data only for us.

We may also disclose data where required by law, to protect our rights, or as part of a merger or acquisition, in which case we will notify affected clients.

08. International transfers

We operate between the United States, Qatar and the wider MENA region, so your data may be transferred and stored outside your country. Where such transfers involve personal data protected by GDPR, Qatar's PDPPL or similar laws, we rely on appropriate safeguards such as standard contractual clauses and vendor commitments.

09. Retention

Enquiry and consultation records are kept for up to 24 months from last contact. Client contract and billing records are kept for the period required by tax and commercial law, typically 7 years. Data processed on behalf of clients is retained per the client's instructions and deleted or returned on termination.

Website analytics data is retained in aggregated or pseudonymised form.

10. Your rights

Depending on where you live, you may request access to your data, correction, deletion, a portable copy, restriction of processing, or object to processing based on legitimate interests. You can withdraw consent for marketing at any time.

Send requests to privacy@hololteck.com. We verify identity before acting and respond within 30 days. If your data sits inside a client's platform, we will forward your request to that client as the controller.

11. Security

We apply encryption in transit, role-based access control, least-privilege administration, environment separation, audit logging and regular dependency and configuration reviews. Access to production data is limited to personnel who need it to deliver the service.

No system is perfectly secure; if a breach affects your personal data we will notify you and the relevant authority as required by law.

12. Children

Our website and services are intended for businesses and are not directed at children under 16. We do not knowingly collect their data; if you believe we have, contact us and we will delete it.

13. Changes and contact

We may update this policy as our services evolve. Material changes will be announced on this page with a revised date. Continued use after an update means you accept the revised policy.
